Inventors, designers and other creative minds in your company can electronically submit invention disclosures and IP requests to your IP department. Required documents such as drawings can be easily submitted together with company-specific questionnaires and an approval workflow for co-inventors and superiors is available.
Keep inventors up to date
After submitting a disclosure or request, users are provided with an overview of their inventions so they can monitor the status of all the inventions, IP rights and products that they have contributed to.
The employees who submitted a request or disclosure remain the main contact persons in the R&D department for the corresponding IP and can be automatically involved in related IP decisions.
Manage disclosures and requests
The submitted invention disclosures, IP requests, and related documents are automatically imported to the system and can be further processed by the IP department. Communication between the IP department and individual inventors is thus facilitated and inventors are provided with a comprehensive overview of their inventions.
Manage patents, utility models, trademarks, designs, domain names, copyrights and trade secrets in one central system. By assigning different functional roles to your users, you can grant individual access rights per IP type.
Your IP rights are clearly structured in families of national and international filings for the same IP type, and reports can be created either per IP type or across all IP types managed in your the system.
Manage prior art and handle IDSs
The prior art information received through inventors, patent searchers, examination reports and other sources is representative of the highly important data in an IP file. Easily link this information to patent files by entering publication numbers that are automatically synchronized with official databases such as Espacenet.
Access the corresponding PDF documents by clicking on the links provided in the user interface. Use standard templates to create country-specific information disclosure statements (IDSs).
Application documents are generated automatically from your company-specific templates and from the data that has been entered for the corresponding invention disclosure files. An e-filing interface makes it possible to electronically file patent applications.
If more than one person is involved in compiling the documents, the order management integrated in the system facilitates cooperation between external suppliers and the IP professionals in charge.
Benefit from integrated decision processes and histories for filing, maintenance and other IP decisions. Standardize and automate as many prosecution steps as possible by using the best-practice workflows provided. Scan incoming documents such as office notifications into the system and link them to the related IP files.
Be reminded of national and international time limits that are relevant during prosecution, and be notified of new incoming mail so you always take the right steps at the right time.
Maintain your IP
Decide on the renewal of your IP rights at regular intervals and together with the business units the IP rights originated from or that are currently responsible for your IP rights.
In case of abandon decisions, consult with your contracting parties and inventors and manage related acquisition offers directly in the system.
Handle support processes
Benefit from basic processes for contracts, disputes, unsolicited ideas, standards, and other IP-related matters that surround and complete your integrated IP management.
High-quality data is the basis for all portfolio management actions and decisions. Make sure that you are informed at all times using the available standard and custom reports as well as the overview functions provided.
Regardless whether you are part of the IP department, R&D, or any other business area, up-to-date IP information is always available.
Classify and structure
Structure your IP assets by classifying and ranking them according to your company-specific needs. Create hierarchical classification trees, depicting your organizational structure, business units, technologies, projects, etc. Easily assign classification labels to individual IP files or to multiple files simultaneously using the corresponding bulk action.
Assess the value of your IP
Assess the value of your IP over its entire lifecycle. Consider all desired business aspects, such as the market potential or technical relevance, or IP-specific aspects such as the detectability or enforceability of an IP asset. Use the resulting IP value indicator as a basis for decision-making.
Make informed decisions
Automatically receive decision tasks for IP decisions that need to be taken by a certain due date. See all your open decisions at a glance in your personal task list.
Involve the relevant experts by giving them access to the system on a need-to-know basis. Submit your IP decisions electronically and thus maximize the efficiency of your workflows.
Create portfolio reports
Create and manage your personal reports, share them with others or apply flexible ad-hoc queries to answer specific questions. Benefit from the common data source and combine basic IP data with related data such as persons or linked files.
Customize your reports using an easy-to-use interface, generate multi-dimensional charts and diagrams, or export reports to MS Excel for further processing and analyses.
Use functional roles to determine different levels of access authorizations. This includes, for example, permission to perform certain actions or to view or edit specific file types in the system. Each user can have one or more functional roles.
Stay consistently up to date on the status of your personal tasks and benefit from combined overviews and to-do lists that not only include official time limits, but also internal to-dos and decision tasks. Depending on how often you use the system, you are either kept up to date on your personal login screen or you can be notified via e-mail. As a person responsible for a file, you are always informed about the progress of related tasks directly in the electronic file.
Manage task groups
Define task groups and inboxes to structure work and manage your employees. Add members to the different groups and always keep an overview of the workload assigned to each employee.
Distribute tasks manually or use the system’s automatic distribution function, which is based on the current availability of individual group members.
Use best-practice workflows
For each file type available in the system, a standard workflow is provided, combining the corresponding legal and procedural framework with the usual company-internal steps that are required for filing and maintaining IP rights.
These steps may include, for example, the receipt and evaluation of an invention disclosure or the preparation of application documents.
The standard workflows described above can be further customized to meet your specific needs. A configuration interface is provided for your internal system administrators, enabling the constant adaptation and optimization of the time limits, document types, status changes, etc. that are involved in your individual IP processes.
Validate new data input
Ensure that newly entered data is automatically validated by the system and that your users are notified accordingly if input errors occur, mandatory fields are not filled in, or the file is not in the correct workflow status for performing an action.
Internal business units can be granted access to the system in order to involve them in classification, valuation and decision processes. The overviews and IP data provided for users outside the IP department are limited to what is needed to meet the specific requirements and interests of the respective user group.
External patent attorneys and other service providers such as translators have the possibility to securely exchange information with your IP department. Partners can electronically accept orders assigned to them by the IP department, or they can actively update file data that is required for the completion of an order. This ensures a smooth and efficient collaboration.
Payment service providers
With your Unycom solution you can control the automatic payment of maintenance fees via integration with your payment service provider. The system helps you to avoid unnecessary payments by forwarding the maintenance and abandonment decisions made by the IP professionals in charge of a portfolio directly to the payment service provider.
The Unycom e-filing interface makes it possible to electronically file patent applications. Templates for creating online applications for PCT and EPC applications, as well as for national applications in Germany, France, Spain and the Netherlands are preconfigured and ready to use.
Replace your paper files by electronic files. Stucture IP rights of the same type (patent, design, trademark, etc.) in “families”, meaning that all related national and international filings are summarized in one, superordinate family file.
Various types of file searches and a clear file structure ensure that all information and documents related to an electronic file are easily accessible within the system.
Depending on the type and status of a file, different document types can be processed and created for it. Templates are available for creating outgoing e-mails and letters, which are filled in with current file data when creating the mail.
When processing incoming mail, the documents received are linked to the corresponding files, and file data such as the filing date and application number can be automatically updated.
Time limit management
The system automatically reminds users of important tasks and related time limits. Time limits can be set for personal, internal or official tasks. Official time limits – for example for filing an application or for renewing IP rights – have been integrated into the system.
Time limits are continually updated to comply with the respective legislation and can also be triggered automatically by certain actions, such as the sending of a letter or the entry of an application date.
Each electronic file, task, etc. offers the possibility to add personal comments as well as an overview of all comments that have already been added by other users.
Different comment types can be configured, which can later be used as search criteria for specific file searches.
Manage costs for internal and external services directly in the system and allocate them to the corresponding IP files. View, approve and release logged work hours. Keep an overview of all costs incurred per IP family or portfolio.
